How Future Initiatives Will Be Documented

The International Pagan Society intends to document future initiatives with clear distinctions between proposed work, active work, verified outcomes, and archival records. This framework describes the information that should accompany an initiative before it is presented as established organizational activity.

Before an Initiative Is Published

Status Definitions, Not Current Claims

These definitions describe how an initiative's status would be labeled as it moves through development. They are not a statement that IPS currently operates programs in each category.

Proposed

An idea has been described, but it has not been reviewed, approved, or resourced. Nothing is operating yet.

Under Review

The proposal is being evaluated for scope, safeguards, consent, and organizational capacity before any commitment is made.

Active

The initiative has been approved, resourced, and is currently operating within a defined and disclosed scope.

Completed

Planned work has concluded. Outcomes, limitations, and evidence supporting them should be documented at this stage.

Archived

The initiative is no longer active. Its record is retained for transparency and reference, with status clearly marked.

Documentation Standard

What a Future Initiative Page Should Disclose

A future initiative page should disclose the following, when applicable, before it is presented as active organizational work.

Purpose and Scope

What the initiative would do, why it would matter, and the boundaries of its intended work.

Responsible Steward

The organizational contact or approved steward accountable for the initiative, when one has been designated.

Communities or Traditions Affected

Which communities or traditions the work would touch, named accurately and without overstating scope.

Consent and Consultation

The consultation process followed, where relevant, before work involving a community or tradition begins.

Geographic Scope

Where the work would take place, described only to the extent that disclosure would not create risk.

Timeline and Status

Whether the initiative is proposed, under review, active, completed, or archived, and since when.

Funding Source and Budget

The approved funding source and budget, when applicable, stated only once verified.

Risks, Safeguards, and Ethical Review

Known risks, the safeguards in place to address them, and any ethical review the initiative would undergo.

Evidence Supporting Outcomes

The documentation or records that would support any outcome claims made about the initiative.

Archival and Privacy Restrictions

What may be published publicly versus what should remain restricted, private, or access-limited.

Community, Cultural & Spiritual Responsibility

Documentation Should Respect Community Authority

Future initiative documentation should follow these principles. IPS does not currently maintain a dedicated consent board, ethics committee, ombudsman, field secretariat, or safeguarding office beyond what is described elsewhere on this site.

  • Respect community autonomy rather than acting on a community's behalf
  • Avoid presenting IPS as a spiritual authority over any tradition
  • Avoid claiming representation of a community or tradition without authorization
  • Distinguish public knowledge from restricted, private, sacred, or lineage-held material
  • Obtain appropriate permission before publishing identifying information, cultural knowledge, or community testimony
  • Avoid publishing sensitive locations or personal information where disclosure could create harm

Reported only when it can be counted ethically and accurately, with consent where required.

Materials Preserved or Published

Documents, records, or resources produced or safeguarded, with appropriate attribution.

Participant or Community Feedback

Feedback gathered responsibly and represented accurately, including critical input.

Limitations and Incomplete Work

What was not accomplished, delayed, or left unresolved, stated alongside any successes.

Methods and Evidence

How outcomes were determined, and what records or documentation support the claim.

Date of Last Verification

When the reported information was last checked and confirmed accurate.

Collaboration & Attribution

Naming Partners and Contributors Responsibly

Future pages should identify partners and contributors only after confirmation and permission, following these principles.

  • Accurate attribution of roles and contributions
  • Consent before naming individuals or communities
  • Transparent description of each party's actual role
  • No implied endorsement beyond what has been confirmed
  • Acknowledgement of community ownership and custodianship, where applicable
